A Day in the Life…

The Finance and Procurement Coordinator will act as liaison to Lloyd Group clients and vendors by providing proactive communications to ensure timely payments. It is the responsibility of the Finance and Procurement Coordinator to provide Lloyd Teams with accurate and timely information pertaining to the company’s accounts receivables, accounts payable and monthly recurring billing.

The Finance and Procurement Coordinator ensures that the items necessary to fulfill client needs and IT infrastructure are acquired in a timely and cost-effective way.  This individual works closely with the asset specialist to procure a wide variety of IT products and equipment purchased from specified suppliers and delivered according to agreed terms and conditions. An important aspect of this role is seeking maximum value for the company through time and cost agreements while working with technologically advanced products.

Accounts Receivable

  • Maintain client accounts with “Bank of Time” payments
  • Maintain Finance “Won Deals Board,” tracks monthly recurring revenue
  • Communicate with clients on open balances
  • Maintain credits board
  • Receive all client payments
  • Prepare daily bank deposits
  • Create/send Daily Depost Report – daily status for cash receipts, open projects, other receivables
  • Maintain AR aging reports
  • Maintain/update client agreements in ConnectWise (CRM system)
  • Oversee/coordinate AR aging process with Engagement team
  • Maintain/monitor large project receivables
  • Create monthly recurring invoices
  • Process ACH & CC for all automatic payments

 

Accounts Payable

  • Make all necessary AP payments
  • Maintain AP aging reports
  • Process/reconcile corporate Amex payments
  • Assist with state sales tax returns and audits
  • Create AP check run, determine payments, create and print checks
  • Communicate with vendors on open payments

Finance Team Member 

  • Product ID Maintenance – all products created by Finance
  • ConnectWise Product ID System Creation
  • Update QB with daily cash transactions
  • Bank Reconciliation
  • Training for Engagement/Purchasing team as needed

 

Procurement / Purchasing 

  • Enter AP bills and maintain accounts
  • Review planned orders, create requisitions for purchased items, and manage approval process.
  • Responsible for Asset Renewals
  • Transmit and prioritize approved purchase orders and supporting documents to suppliers.
  • Track order acknowledgement, prepare and communicate shortage and backlog reports, and provide visibility of potential interruptions to internal and external customers.
  • Track orders and confirm system lead times, delivery dates, and costs.
  • Review, update, and maintain purchase orders until they are closed.
  • Expedite solution of problems that arise in relation to delivery dates, quality, quantity, and cost of purchased commodities.
  • Ensure orders adhere to supplier agreements and contracts; report nonconformance.
  • Lead the process to resolve reception and invoice discrepancies.
  • Identify opportunities and implement actions to achieve efficiencies.
  • Contribute to consolidation, reduction, and rationalization of the supplier base.
  • Provide purchasing planning and control information by collecting, analyzing, and summarizing data and trends.
  • Other duties as assigned (As part of the finance department, these will include various accounting assignments.)

Criteria for Success

  • Bachelor’s degree in business management or finance with related knowledge of IT.
  • Must have experience with QuickBooks
  • 2+ years of IT industry experience.
  • Financial, bookkeeping, or accounting experience
  • Good verbal and written communication skills
  • Ability to quickly learn new technologies and equipment
  • Ability to maintain internal and external relationships
  • Detail oriented; ability to follow established policies and procedures

Technical Expertise

  • High-level use of Excel and other Microsoft Office applications
  • Knowledge of Quick Books or related accounting software
